Data Privacy Notice

Your personal data

'Personal data' is any information about a living individual which allows them to be identified from that data (for example a name, photographs, videos, email address, or address). Identification can be directly using the data itself or by combining it with other information which helps to identify a living individual. The processing of personal data is governed by legislation relating to personal data which applies in the United Kingdom including the General Data Protection Regulation (the GDPR) and other legislation relating to personal data and rights such as the Human Rights Act.

Who are we?

The West Norfolk Artists Association (WNAA). The committee of the WNAA is the data controller for your data. Our data protection officer is Esther Boehm, chairperson of the WNAA.

How do we process your data?

In compliance with our obligations under the GDPR (General Data Protection Regulation), we will keep your data up to date, store and destroy it securely, not collect or retain excessive amounts of data, protect your data from loss, misuse, unauthorised access and disclosure, and ensure that appropriate technical measures are in place to protect your data.

Member's Data

We will use your data for the following purposes:
To operate the WNAA website and provide services as requested.
To administer the membership records.
To promote the interests of the WNAA.
To maintain our own invoices/accounts via PayPal.
To inform you of news, events, workshops and other activities of the WNAA.
To share information provided by others that is considered to benefit members.

What is the legal basis for processing your data?
As a paid member of the WNAA, you consent to our holding your data so that we can send you information about news, events and workshops and activities of the WNAA.
Such processing is necessary for preparing and running exhibitions, organising events, invoicing, membership and dealing with general enquiries.
Such processing is carried out by the WNAA (a not-for-profit body) provided that the processing relates to members or former members and others who raise enquiries of the WNAA.
There will be no disclosure of your data without your consent.

How long do we keep your data?
We will keep your data from workshops, events, and your raising of general questions with us for one year, after which it will be destroyed. Historical transaction data (i.e. invoicing) will be stored for 5 years after which it will be destroyed. Data relating to your membership will be retained for one year after you have ceased to be a member.

WNAA Mailing List

We will use your data for the following purposes:
To inform you of WNAA exhibitions.

What is the legal basis for processing your data?
Your consent to be informed of upcoming exhibitions.

How is your data stored?
We use MailCimp to send information regarding upcoming exhibitions. Your data is stored on the secure server of MailChimp. Read about the Privacy Policy of MailChimp.

How long do we keep your data?
Until you opt-out of the mailing list.

Your rights and your data

Unless subject to an exemption under the GD, you have the following rights with respect to your data:
The right to request a copy of the data the WNAA holds about you.
The right to request that the WNAA shall correct any of your data if it is found to be inaccurate or out of date.
The right to request that your data shall be erased when it is no longer necessary for the WNAA to retain such data.
The right to withdraw your consent to the processing of your data at any time.
The right, if there should be any dispute in relation to the accuracy or processing of your data, to request that a restriction shall be placed on further processing.
The right to object to the processing of your data (where applicable).

Further processing

If we wish to process your data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. When necessary, we will seek your prior consent to the new processing.
